The Challenge

When Battle Plan first partnered with JBRF, the foundation had no centralized project management system and no shared document platform. Program work was moving, but without the infrastructure to track it. Assignments slipped, consultant deliverables ran off schedule, and leadership had limited visibility into what was on track and what wasn’t.
JBRF needed more than a tool recommendation and a trusted partner who could assess the full picture, build something that fit their team, and see it through.

Our Approach

Battle Plan began by listening. Before making a single recommendation, we joined program meetings, observed how the team worked, tracked assignments, and synthesized what we heard. We took the time to understand the team’s varying comfort levels with technology before proposing any solutions.

From there, we built in phases. First, we researched, evaluated, and recommended Asana as JBRF’s project management platform, providing a written options analysis and a video walkthrough before seeking approval. Once the team was onboard, we built the platform out entirely, adding all projects, assignees, deliverable dates, subtasks, dependencies, and linked documents. We then trained the full team and continued to reinforce that training in real time during meetings.

Next, we tackled document management, researching options and ultimately leading the migration from Google Suite to Microsoft Teams. It was a heavy lift, and we saw it through from start to finish.

Throughout the engagement, we identified and solved for specific friction points as they emerged: sending pre-meeting reminders to improve task completion, creating a contract review process to keep external consultants accountable, and troubleshooting Asana navigation in real time with the team.

The Outcome

JBRF now operates with a fully functioning project management system and centralized document platform that the team relies on daily. Leadership has clear visibility into task completion and deliverables. External consultant accountability improved. And as the engagement deepened, Battle Plan’s scope grew: we moved from day-to-day project management into systems-level work, including developing an organization-wide process manual and improving JBRF’s contract and grant agreement processes.

The relationship continues, and so does the work.
